Candidate Tracking Database
Overview
Overwhelmed by the number of candidates applying for their company's available positions, this client needed a multi-user solution that would organize interview response information and summarize each applicant's strengths and weaknesses. Not only did the system need to track Candidates, Questions, and Interviews, but also generate several reports aggregating this data into several easy to follow reports.
Solution
Ms. VBA developed a simple Access 2007 database solution that compiles this information and generates multiple ways to view the data. Once a user enters candidate's general information into the Candidate Data Form, the interviewers can begin conducting interviews and entering data into the Candidate Interview Form. After completing the interviews, users can then review the results in the Candidate Profile report, the Candidate Ranking report, or the Candidate Comparison Report.
Project Details
In the Candidate Data Form the user can enter basic data about the Candidate - Name, Phone Number, Email, and Notes - as well as attach documents, such as their resume and application, to their Candidate record. The Compare checkbox is used later for selecting Candidates to compare in the Candidate Comparison Report.

Multiple interviewers can create interview records using the Candidate Interview Form. This allows individual users to enter their own ratings and notes for each question during an interview. The reports then use the average of the question ratings to determine the Candidate's overall score for each Question and Category.

The Candidate Profile Report compiles all of the Candidate's information into one simple, easy to read report. It includes the basic Candidate information entered from the Candidate form, interview notes from each interviewer, average scores for each Category, and individual question ratings and notes.

To determine which Candidates really stand out overall, we created a Candidate Ranking report. This takes the average ranking of each question and adds the "points" together to generate an overall score. The report then lists all candidates in descending order by total points.

The Candidate Comparison Report compares selected Candidates (chosen from the Candidate Data Form) side-by-side in each Category using the average question ratings for each Category. The highest and lowest scores for each Category are in green and red, respectively.
