Contact Management Database (Custom CRM)
Overview
Keeping this client's contact information in sync proved challenging given the amount of data stored in various Excel spreadsheets. They needed a single, simple, organized source of reliable operator and repair agent information for efficient communications. Details like operator contacts, fleet details, service authorizations, and permits/certifications needed to be compiled into a system for standard reports and custom data exports specific to various company communications.
Solution
The resulting Access 2003 database developed by Ms. VBA compiled the existing Excel files into a simple viewing and query format. Users can either input new contact information or search by company name or permit number into the Company Form. Generating available reports like the Company Detail Report, is as simple as the click of a mouse and custom queries are made easy with the flexible Query Form.
Project Details
The Company Form allows the user to either input or search by a company's address and permit number. Details include a list of employees, their role in the company, their contact information, and the vehicles and quantity of each assigned to the company. Drop-down menus allow for easier input of the employee role and vehicle type.

The Company Detail Report provides an appealing total profile for each company. Three sections provide a visually organized layout. The Company Info Section provides the logo, address, code, permit number, and total number of employees and vehicles on hand. The Vehicles Section lists the quantity of each vehicle type and the Employees Section lists the name, role, and contact information of the employees.

While the convenience of using saved queries can serve a user well, the flexibility of generating and saving a new custom report is invaluable. Multiple fields and filters can be applied and a preview is immediately reflected, making the Export Data button quite efficient. Company, address, and/or employee information can be filtered by company, role, or vehicles in any combination.
